The data we collect

  • Contact & identification: name, email, phone, address, proof of ID/Right to Rent.
  • Tenancy application data: employment/income, bank statements, references, preferences, notes.
  • Landlord/Property data: property details, certificates (EPC, Gas, EICR), instructions, pricing, works history.
  • Usage data: pages visited, interactions, device/browser details (via cookies/analytics, if enabled).
  • Communications: emails and forms submitted to us.

Why we collect it (purposes & lawful bases)

  • To provide services (valuations, lettings, tenancy management): contract / legitimate interests.
  • Right to Rent & compliance: legal obligation.
  • Referencing & fraud prevention: legitimate interests / legal obligation.
  • Maintenance & property safety: contract / legitimate interests.
  • Customer support & communications: contract / legitimate interests.
  • Marketing (optional): consent (you can withdraw any time).
  • Analytics (optional): consent (via cookie banner).

Sharing your data (when necessary)

We may share data with: referencing providers, deposit schemes (e.g., DPS), contractors, professional advisers, redress/CMP bodies, payment/banking providers, IT/hosting providers, and authorities where required by law. We require appropriate safeguards in our contracts.

International transfers

If a vendor stores data outside the UK, we use appropriate safeguards (e.g., IDTA/Addendum, SCCs, or equivalent).

How long we keep it

We retain data only as long as needed (e.g., tenancy files typically up to 6 years after end of tenancy; R2R copies per Home Office guidance). We apply documented retention schedules and secure deletion.

Your rights

Security
